Title: Finance Coordinator Job Description

Job Description

Heartbeet Lifesharing is looking for a Finance Coordinator to support the Finance Manager in effective financial management. The role involves working closely with an outside accountant; ensuring appropriate financial records are accurately maintained; and supporting team members in financial administration. Previous accounting/financial experience is a plus, with nonprofit experience preferred. This role requires familiarity with audits, accounts payable and receivable, and budgets; an ability to prioritize multiple projects; adherence to timelines and confidentiality requirements; and a commitment to operating in a team environment.

Roles and Responsibilities

• Class and process incoming vendor invoices for accountant
• Process staff reimbursements and mileage reimbursements
• Prepare and make weekly bank deposits

• Prepare documentation for incoming ACH payments for accountant
• Collect, enter and class credit card receipts in QuickBooks
• Send monthly invoices and maintain residents attendance sheets
• Manage the donor database, eTapestry in collaboration with development activities
• Assist with payroll and send bi-weekly timesheet reminders, collect timesheets and communicate with hourly employees as needed
• Maintain a Finance Office filing system and binders
• Collect and distribute incoming mail

Knowledge, Skills, and Abilities

The ideal candidate will have experience in nonprofit financials, along with:

• Bachelor's degree or equivalent
• Experience with (QBO) QuickBooks Online and eTapestry with bookkeeping standards including accounts receivable/payable and fund accounting
• Knowledge of nonprofit audits and tax filings
• Ability to create, update, and maintain financial reports in Excel
• Creative problem-solving skills
• Energetic, flexible, collaborative, and proactive
• Strong written, interpersonal, and presentation skills and the ability to effectively communicate complex information
• Commitment to the human rights of people with disabilities and the organizational mission
• Demonstrated ability to work well with diverse populations
  

Qualifications

• Valid U.S. Drivers License
• I-9 Employment Eligibility Verification
• Must pass required Background Checks for position

Reports To: Finance Manager
Accountable To: Finance Manager & Executive Director

Hours / Job Type

Part-Time: 10-15 Hours/Week

Job Location: In Office (possibility for some remote work)

Compensation: $24.50/hr
